Job Description

We are seeking a highly organized and proactive Office Administrator to support day-to-day office operations, new hire onboarding, IT coordination, and customer training logistics. This role serves as the key point of contact for third-party vendors, internal teams, and office staff, ensuring smooth and efficient administrative processes.

Responsibilities:

  • Office Management: Liaise with property managers, suppliers, and AP; manage office supply inventory and vendor invoicing.
  • Onboarding/Offboarding: Coordinate IT setups (laptop, accounts, badges), conduct Day 1 onboarding, complete ADP I9s, and perform IT and asset offboarding.
  • SAP Support: Enter and update employee information; request SAP licenses and roles.
  • Safety Administration: Act as Safety Lead, manage PPE inventory, safety events, and vendor safety documentation.
  • Meeting & Event Coordination: Arrange catering, support internal meetings, branch events, and customer training sessions.
  • Communication & Call Management: Handle incoming calls, direct inquiries, and support sales with training scheduling.
  • Administrative Support: Manage uniform program, maintain organization charts and phone lists, and request certificates of insurance as needed.

Qualifications:

  • Proven administrative or office management experience
  • Strong organizational and multitasking skills
  • Proficiency in Microsoft Office, SAP, Teams, and general IT tools
  • Excellent communication and interpersonal abilities
  • Ability to manage confidential information with discretion
  • Experience with onboarding/offboarding processes is a plus
  • Familiarity with safety compliance or vendor coordination preferred
