Job Description

Childrens Medical Center is a busy general pediatric office that has serviced our communities for over 27 years. This position is directly responsible for the smooth running of the staff and the daily operations of the clinical and front staff areas of our Trinity and Lutz Office. The Office Manager will work closely with the Chief Operating Officer to assure quality employee and patient satisfaction. The Office Manager will assure quality employee and patient satisfaction, optimal patient flow, courteous reception, accurate registration and tactful front desk co-pay, co-insurance, and back balance of collections. Be part of the clinical staff rotation seeing patients as needed with the physicians and performing triage in addition to the management responsibilities from time to time. The Office Manager must have current licensure or certification and be up to date with CPR certification. 

DAILY RESPONSIBILITIES: 

  • Manage the staffing schedule for the clinical and front staff.
  • Oversee the coordination of clinical and front office staff PTO requests.
  • Supervise staff in managing their daily responsibilities including telephone triage staff.
  • Train, Coach, Discipline and Counsel staff as needed.
  • Maintain accessibility to entire staff in regards to any personnel issues.
  • Oversee doctors schedules and template schedules to optimize patient scheduling efficiency.
  • Act as an intermediary with problems and concerns between staff and physicians.
  • Assure a sensitive, timely and thorough follow up and resolution of all patient complaints.
  • Maintain personnel files on all staff.
  • Work with other Managers and Director or Revenue Cycle to obtain best practice for office operations.

OTHER RESPONSIBILITIES:

  • Provide OSHA in service to all new employees within 48 hours of hire.
  • Maintain OSHA records for office.
  • Direct the recruiting and interview process of new personnel, responding to resumes, performing interviews, reference checks, and hire applicants with approval by Practice Administrator and Managing Physician.
  • Establish training and in-service programs for staff.
  • Establish policies and procedure 
  • Maintain education materials for accessibility to staff.
  • Schedule and preside over staff meetings.
  • Participate in monthly physician meetings.
  • Maintain a nursing reference area with current books and relevant aids for patient teaching and nurse education.
  • Update or establish and implement telephone triage protocols.
  • Maintain staff personnel files in coordination with Practice Administrator including nursing license, CME, and CPR certifications.
  • Keep current personnel immunization files. Schedule and follow-up annual vaccinations for entire staff.
  • Oversee maintenance of Lab Equipment.
  • Oversee quality controls of CBC machine.
  • Oversee CLIA recordkeeping and licensing.
  • Oversee the ordering and stock levels of medical and lab supplies.
  • Oversee sample stocks.
  • Oversee the ordering and stock levels of immunizations.
  • Oversee recordkeeping for VFC program.
  • Oversee the dispensing of Nebulizers.
  • Oversee the ordering and stock levels of forms.
  • Oversee the Referral and Care Coordinator positions.
  • Oversee end of day, daily balance and deposits.
  • Remain up to date and assist staff and physicians with EMR processes.
  • Manage drug rep meetings.
  • All other duties as required.

ANNUAL RESPONSIBILITIES:

  • Prepare and present performance evaluations for staff.
  • OSHA review for entire staff.
  • CLIA review for entire staff.
  • CLIA license renewal.


Qualifications:

  • Education: Minimum high school diploma or equivalent.
  • Certification/Licensure: Medical Assistant, LPN or RN.
  • Experience: 2-3 years experience in the medical or healthcare field.
