OTTAWA COUNTY POSITION POSTING

Job Title: Juvenile Court Deputy Clerk I /Deputy Bailiff

Reports to: Chief Deputy Clerk

Job Status: FLSA Non-Exempt, Unclassified, Full-time (37.5 hours a week), 8:30am – 4:30 pm; Unpaid 30-minute lunch break

Salary Range: $23.00 - $24.00 per hour; placement within the range determined by relevant experience and skills.

Position Summary

The Juvenile Deputy Clerk performs clerical tasks necessary for processing, reviewing, and filing legal documents related to Juvenile Court matters. Additional duties may be assigned by the Judge, Court Administrator, or Chief Deputy Clerk.

Qualifications

Education and Experience:

  • High school diploma or equivalent.
  • One year of clerical and data entry experience preferred.
  • Proficiency in Microsoft Word, Excel, Google Docs, and office equipment.
  • Notary Public certification for the State of Ohio or the ability to obtain certification within six (6) months of hire.

  • Basic mathematics and monetary transaction management.
  • Ability to maintain confidentiality and provide excellent customer service

Key Responsibilities

Clerical and Administrative Duties:

  • Intake and file stamp court cases and citations; prepare and maintain case files.
  • Review filings to ensure accuracy and completeness of required documentation.
  • Draft, finalize, and process court orders, decisions, and judgment entries.
  • Summarize and docket court decisions; update files electronically and manually.
  • Respond to inquiries from attorneys, law enforcement, public officials, and the public.
  • Answer phones, greet and assist callers, and manage daily mail and email requests.
  • Adhering to, implementing and managing court records in accordance with established records retention schedules.

Fiscal Responsibilities:

  • Process court costs, fines, and payments; maintain an accurate cash drawer.
  • Reconcile accounts and prepare daily deposits.
  • Send billing statements for outstanding court costs.
  • Handle collection of past-due accounts and schedule hearings when necessary.

Case Management and Scheduling:

  • Schedule hearings, pretrial conferences, trials, and phone conferences as needed.
  • Assist with the yearly inventory of records and supplies.

Public and Professional Interaction:

  • Provide information and assistance to attorneys, law enforcement, public officials, and the public.
  • Respond to general inquiries in person, by phone, and via email.
  • Assist with daily postal mail and email correspondence.

Deputy Bailiff Duties:

  • Maintain order in the courtroom during hearings and trials.
  • Facilitate courtroom setup, ensuring proper functionality of digital recording systems and equipment.
  • Provide support to judicial staff during in-court proceedings.

Specialized Tasks:

  • Assistance with submission of Supreme Court, BCI, BMV required reporting when necessary.
  • Summarize and docket court decisions; update case files electronically and manually.

Other Duties:

  • Perform other duties as assigned by the Judge, Court Administrator, or Chief Deputy Clerk.

General and Physical Requirements

  • Successfully complete a post-offer background check, drug screening, and motor vehicle check.
  • Must possess a valid Ohio Driver’s License.
  • Ability to lift up to 20 pounds and access shelving up to 72 inches high.
  • Prolonged periods of sitting or standing may be required.
  • Must have clear vision for reading and computer use.
  • Proficiency in data entry using traditional keyboards or other devices.
